Declaration of consent concerning the use of media assets by Koelnmesse GmbH and third parties

1. Object and purpose

In the frame of the gamescom cosplay contest, Koelnmesse (Koelnmesse GmbH, Messeplatz 1, 50679 Köln) intends to take photo material (“photos”) and video material (“videos”) in which I am visible. These photos will be shown on the Internet and/or in printed promotional materials to document the event and for the gamescom cologne advertising campaign.

This declaration of consent pertains to the use of all photos and videos that recognizably depict me and that are taken during my attendance at the gamescom cosplay contest.

The photos can be combined with other photo material, graphics or texts as well as edited, rescaled or cropped.

2. Consent

I hereby consent to the publication and use of the photos in which I am visible for the aforementioned purposes, and I grant Koelnmesse GmbH the corresponding rights of use. Insofar as the photos provide any indications concerning my ethnicity, religion, health, and/or political views (e.g. skin color, headdress, eyeglasses) these details are also covered by my consent.

My consent includes in particular:

• I will be filmed and photographed during the pre-judging and final show for the gamescom cosplay contest, and the whole show including my presentation will be recorded and streamed live.
• Koelnmesse GmbH is entitled to use these images and videos on gamescom.global and the gamescom YouTube, Twitch, Instagram and TikTok channels to promote future events related to gamescom. Koelnmesse GmbH will not make public my personal contact information e.g., e-mail address or phone numbers.
• The video recordings of the show, including my presentation, will be published afterwards on the gamescom YouTube and Twitch channels. Koelnmesse GmbH will not share this material with third parties unless I explicitly entitle Koelnmesse GmbH to do so.

No fee is paid. I am aware that this consent is purely voluntary. I can refuse to consent, revoke my consent with effect for the future, or object to the processing without giving any reason.

I realize that information on the Internet is accessible worldwide, that it can be found by means of search engines, and that it can be linked with other information that might possibly allow personality profiles to be created of me. I am also aware that information (including photos) that is uploaded to the Internet can be easily copied and disseminated and that there are specialized archiving services that aim to permanently document the status of certain websites at certain times. This can cause information that is published on the Internet to still be available even after it has been deleted from the original site.

Koelnmesse GmbH will share selected photos after the event. I am free to use them in my communications by referring to the copyright of „Koelnmesse GmbH“.

3. Notice regarding co-streaming of the gamescom cosplay contest by third parties

I acknowledge and agree that the final show of the gamescom cosplay contest will not only be broadcast via the official gamescom channels, but may also be live streamed and made publicly accessible by third parties as part of so-called co-streaming. This may take place in particular on platforms such as YouTube, Twitch, Instagram, TikTok or comparable streaming services.

All co-streams are subject to the gamescom co-streaming guidelines.

3.1 Behind the scenes

As part of the gamescom cosplay contest, selected content creators may record so-called “behind-the-scenes” footage during the pre-judging as well as during the final show. This material may be broadcast live and may also be published and shared after the gamescom cosplay contest on the respective creators’ social media channels under their own names.

4. Right of revocation

I may revoke my declaration of consent towards Koelnmesse GmbH at any time for the future and without giving any reasons.

If I withdraw my consent before the pre-judging or the final show of the gamescom cosplay contest on 29 August 2026, participation in these programme elements will no longer be possible. In this case, I will be excluded from the gamescom cosplay contest. Such exclusion also means that I will not be considered for a placement or for any potential prize.

The following applies to such cases: Koelnmesse GmbH will immediately delete from its online advertising measures photos/videos in which I am recognizable, and which predominantly depict only me. These photos/videos will not be used by Koelnmesse from this point on. If I am shown along with other people the photo does not have to be deleted. In such cases, it suffices if I am made unrecognizable in the photo/video without delay (e.g. by means of pixelization).

In order to take these measures, I must notify Koelnmesse GmbH of the photos/videoas that depict me because Koelnmesse GmbH cannot otherwise determine the photos in question.

If Koelnmesse GmbH creates a new edition of the printed material after the consent has been revoked, it will not use any photos in which I am visible and recognizable. In such cases, I must also notify Koelnmesse GmbH of the photos that depict me.
